The challenge

The trust operated three campuses using four separate systems: one for admissions, one for fees, a biometric attendance package, and a transport spreadsheet.

None of them shared a student identifier. Two full-time staff spent most of their week reconciling lists, and board reporting required manually merging exports. Parents had no visibility at all and the front office fielded roughly 80 calls a day about attendance and fee status.

What we built

We implemented a unified School ERP built around one student master record that every module references.

Six years of historical data was migrated from all four systems, deduplicated, and validated against physical records before cutover. The old and new systems ran in parallel for a full term until fee, attendance and examination figures matched exactly.

Biometric devices at all three campuses were integrated directly, removing the separate attendance package. The parent app was released at the start of the following academic year with attendance, marks, fee status and circulars.

The results

Duplicate data entry was eliminated entirely. The two staff previously assigned to reconciliation moved to admissions support.

Parent app adoption reached 78 percent within a month, and front office call volume fell by an estimated 60 percent. Board reporting that previously took three days is now generated on demand.
